Please read this information carefully. Use the Hotel Reservation form to make hotel reservations for the 2008 PCMA Annual Meeting. You must register for the PCMA Annual Meeting prior to booking your hotel reservation. All housing reservations must be made through the 2008 PCMA Housing Bureau. Only one reservation allowed per form. Only one room allowed per registrant.

Reservation Deadline

Thursday, November 29, 2007 by 5:00 p.m. EST to receive the PCMA discounted room rate.

If you need to make a change to an existing reservation or cancel a reservation, please contact the hotel directly AFTER DECEMBER 28, 2007 (hotel phone number is listed on your registration/housing confirmation letter).  Hotels will NOT have rooming lists from the PCMA Housing Bureau processed before this date.  

If you need to make a new reservation, you may contact the hotels directly for availability and rates.  Please note that they may not be able to confirm availability or rates until AFTER DECEMBER 28, 2007 when PCMA reservations have been processed. 

Housing Information and Change/Cancellation Policies

• Acknowledgements of reservation request will be sent after each reservation form is received/processed, as well as each time a reservation is modified/changed and/or cancelled. For online registration/housing, acknowledgement is immediate. For faxed/mailed forms, acknowledgements will be sent within 2 business days of completion of processing. Please review acknowledgements carefully for accuracy. If you do not receive an acknowledgement within 14 days of submission, please call the PCMA Housing Bureau at 800.220.3839 – U.S & Canada or 847.940.2395 - International.
• Reservations are processed on a first-come, first-served basis. Availability may be limited at hotels.
• All reservations require a room deposit of $175 USD. This deposit will be charged to your credit card upon booking, or must be paid by check drawn on U.S. banks submitted with form (mailed forms only). Checks should be made payable to PCMA/Experient. One check may be used for payment of both registration fees and housing deposit. Deposits paid by credit card will show on statements as PCMA 2008 Annual Meeting. The deposit will be credited to your first night’s stay.
• All hotel room rates are subject to applicable state and local taxes in effect at the time of check-in (currently 15.6% - subject to change without notice).
• PCMA discounted room rates are applicable January 10 – 19, 2008, subject to availability.
• Changes and/or cancellations made on or before Wednesday, December 19, 2007 at 5:00 p.m. (EST) should be made online by accessing your registration/housing record or in writing via e-mail pcma@experient-inc.com . Changes and/or cancellations after Friday, December 28, 2007 must be made directly with the individual hotel.
• Cancellations for all PCMA participating hotels must be received a minimum of 72 hours prior to arrival in order to receive a refund of your deposit, less a $50 USD cancellation fee. The difference between the $175 USD deposit and one night’s room and tax may be automatically charged to the credit card on file by the hotel for cancellations within 72 hours of arrival and no shows. No refunds will be given for cancellations within 72 hours of arrival or no shows.
• A portion of the room rate is used to offset the expense of housing services.
